Office Manager (m/f/d)

The position / the role

The ideal candidate for this position of Office Manager will play a crucial role in supporting the construction management team in the Netherlands. The Office Manager will be responsible for performing day-to-day tasks related to general office administration, including communication, general administrative support such as travel management support and overall office management and will collaborate with the local team and UK/Ireland-based management. This role requires a self-starter with a hands-on approach and you will report to the Operations Director on site.  You need to see the work and not wait for the work to find you.

What you’ll do

As Office Manager your key responsibilities will include:

  • Maintain office services by organizing office operations and procedures, managing correspondence
  • Navigate Dutch bureaucracy efficiently to ensure the company is compliant with local property taxes, parking permits
  • Liaise with accommodation agencies and manage the registration process of new staff accommodation for staff seconded from the other European business units
  • Assist seconded staff in the process of setting up in Holland and dealing with local authority offices etc.
  • Support with travel documentation including hotel and flight bookings, restaurant reservations, etc. and preparation of itinerary’s as required
  • Assisting operational staff with the upload of their expenses and receipts into expenses software Concur (training provided)
  • Ensure accurate timekeeping by overseeing weekly timesheets, booking holidays, PTO, and sickness and ensuring monthly timesheets are submitted on time
  • Dealing with ad hoc reporting duties that may be requested by Senior Management
  • Develop a “New Starter” Pack for policies, processes, and procedures in the Netherlands

What you’ll bring to the role

  • Understand the needs and demands of a senior leadership office
  • Proven experience of being able to work with and manage stakeholders with exceptional engagement and organisational skills
  • Strong written and verbal communication skills to interact effectively with employees, clients, and vendors
  • Strong ability to manage time in order to effectively manage multiple competing priorities at the same time
  • Adaptable to changing priorities and able to hit the ground running when dealing with complex issues
  • Proficiency with common office software and customer relationship management tools
  • Excellent customer service skills and ability to handle inquiries
  • Ensure accuracy in documentation (travel expenses and costs), and other administrative tasks
  • Self-motivated, well-organised, pragmatic and able to perform tasks independently
  • Continuous drive & energy to get things done
  • Fluent in Dutch and English
